How to Match Pin Headers and Female Headers Before RFQ
To match a pin header with a female header, do not confirm pitch alone. Pitch, row count and pin count define the layout, but a reliable match also needs pin size, mating length, female contact depth, plastic body height, solder tail length, PCB thickness, mounting direction and plating.

For RFQ, send the drawing or sample photo for both sides if available. If only one side is available, mark the connector that must remain unchanged and describe the target mating part.
Why same pitch is not enough
Two connectors can both be 2.54mm pitch and still fail to mate correctly. The pin may be too thick for the female contact, the pin may enter only part of the socket, the female header body may be too high for the enclosure or the solder tail may not suit the PCB thickness.
This is why a buyer should not request only "2.54mm pin header and female header, 2x20P." That description is useful, but it is not complete enough for a dependable replacement or custom quote.

Check the pin header side
Start with the pin header drawing or sample. Confirm the pitch, single-row or dual-row layout, pin size and exposed mating length. For through-hole parts, confirm the solder tail length and PCB thickness. For right-angle parts, confirm the bend position and distance from the PCB edge.
The exposed mating length is important. If it is too short, the female contact may not grip the pin properly. If it is too long, the pin may bottom out, interfere with nearby parts or create unwanted exposed metal.
Check the female header side

For the female header, the outside shape is not enough. Confirm the contact opening, accepted pin size, internal contact depth, plastic body height, row count and solder tail length.
If the drawing includes a section view, use it. A section view is more useful than a top view because it shows how deep the pin can enter and where the internal contact sits.
When board-to-board height matters
Board-to-board height should be treated as an assembly dimension, not a single connector dimension.
- Pin header plastic height.
- Exposed mating length.
- Female header body height.
- Female contact depth.
- Insertion depth after mating.
- PCB thickness.
- Solder tail clearance.
- Components between the two boards.
For this reason, a quote request such as "need 11mm stack height" can be unclear. It may mean 11mm between PCB surfaces, 11mm total connector body height or 11mm clearance inside the enclosure.
Replacement parts need more evidence
For replacement sourcing, send more than a catalog photo. Useful evidence includes existing part photos from top, side and mating direction, caliper measurements, PCB thickness, row count, mating connector photo or drawing, application notes and any old marking or part number.
If a physical sample is available, keep one sample unmodified. Cutting or desoldering the only sample can remove details needed for comparison.
A practical RFQ example
Weak RFQ: Need 2.54mm pin header and female header, 2x20P, quote price.
Better RFQ: We need a 2.54mm dual-row pin header and matching female header, 2x20P. The assembly uses two parallel PCBs. PCB thickness is 1.6mm. Straight through-hole mounting is preferred. Target PCB-to-PCB distance is 11.0mm. Pin header tail length should be suitable for wave soldering. Tin plating is acceptable unless gold flash is recommended for the mating side. Drawing and sample photos are attached. Trial quantity is 1,000 pairs, with expected batch demand of 10,000 pairs.

Can a 2.54mm pin header mate with any 2.54mm female header?
No. Pitch must match, but pin size, contact structure, insertion depth, body height and plating also need to be checked.
Is board-to-board height decided by the female header?
No. Board-to-board height depends on the full mating pair and the PCB assembly. The female header is only one part of the height calculation.
What if only one connector side is fixed?
Send the fixed connector drawing or sample photo first. The matching connector should be selected around that part, not guessed from pitch and pin count alone.
Do all matching pairs need gold plating?
No. Tin plating is common for many soldered PCB connectors. Gold flash or selective gold may be considered when contact reliability, mating cycles or application conditions require it.
